This issue had already been resolved prior to receiving this email notification, unfortunately it appears that this particular patron filed this complaint prior to receiving our response to her email. The following had been explained:
1. It is a race industry standard due to the global pandemic to POSTPONE races without the ability to offer refunds as the events have already been paid for and planned months in advance by the time the event was forced to reschedule. This allows us to continue with the event for our patrons and still provide the experience and quality that we hold to a high standard.
2. The event has been postponed not cancelled.
3. The coupon code offered to our participants is their 100% credit to apply when they register themselves in the postponed event. Which also prevents them from losing their processing fee and for paying for another processing fee for the rescheduled event. Also, an industry standard.
4. To protect our registrants from disappointment such as this, everyone, including her, was required to sign a COVID-19 waiver prior to registering that states she understands that if this race needs to be postponed or cancelled due to unforeseen circumstances such as COVID-19 that there will be no refunds issued. She agreed to this waiver on June 3rd.
Although all of this had been explained, we still offered a refund to her and a family member prior to receiving this complaint. We would like to add that we hold high standards in our racing events and we are not new to the racing industry. We are however new to managing the constantly changing information and requirements we all are experiencing due to a global pandemic. Postponing events is never an easy decision as we've spent months creating and organizing. The disappointment is felt on our end as well. In fact, this complaint is disappointing. Race industries don't receive PPPL as other businesses did due to COVID, and we are forced to do the best we can with the circumstances given while keeping our patrons and quality a first priority. Postponing an event during a pandemic unfortunately is the industry standard.
