In response to the letter received November 18, with [redacted] All of our cancellation requests are handled the same and are also stated in our month to month agreements that are both signed by and transmitted via email to new members The member did not follow the proper procedures that we have set in place for a cancellation When contact was made with the member she was told what steps she would need to take in order to cancel We have one of two ways to cancel a membership either in person or via email Per the agreement cancellations are required to be in writing We have no written record of her cancellation If a member calls to cancel our employees are trained to direct them to come to the gym to fill out the cancellation request form If it is not possible for the member to come and cancel in person email is also an acceptable option but not preferred We have no problem cancelling agreements when the proper steps are taken.After [redacted] sent in her cancellation request via email we processed her request [redacted] stated that she did not have time to make it in for our classes In our attempt to remedy her issue we offered to extend her access free of charge an entire month beyond the cancellation period for both kids This would give her access to the gym through the holidays until mid-January With this extension, our hope was that [redacted] would have the free time to have her kids utilize the gym
