Dear Representative of the Revdex.com,
We received your letter concerning case# [redacted]. The client in question came in to our store on 9/26/2016 asking an employee about...
canceling her membership. The employee explained that per contract specifications we require 30 days notice to terminate and that the client would be charged 1 final draw before the cancel would take effect. The client did not want to pay the full amount of $53.86 on 10/1 so the employee explained that she could “freeze” her membership to avoid these charges, as well as our $20 sign up fee if the client decided to re-sign up. The client did not specify that this is what she wanted to do, she proceeded to tan and then leave without confirming a decision or filling out any paperwork. It is stated in her contract, that she received a copy of at time of sign up, that in order to “freeze” or “cancel” client must come into the store and fill out a form to that effect. Therefore her account was charged the amount of $73.86 (Her monthly dues plus a $20 insufficient funds fee due to payment rejection on 10/1- due date) on 10/4, after which she called asking for a refund and was referred to our Client Services Department. Client Services determined that since no paperwork was filled out regarding “freezing” or “canceling” we would not be refunding the client’s card but would be willing to credit the clients tanning account for the full amount of $73.86 if she wanted, they also froze her account for future months. The client never responded to Client Services offer and instead came into the store to yell at our employees regarding this issue, demanding a refund, at which point she was again explained Client Services decision and referred back to them.
As a resolution to this issue we refunded the client on 11/6 for the full amount taken ($73.86) on 10/4, as well as the full amount of $25.49 (clients freeze dues of $5.49 plus a $20 insufficient funds fee as her payment rejected again on 11/1 for November) went through on 11/4. We have also terminated her membership effective immediately.
Sincerely,
Tropical Tan
