August 16, 2016Dear [redacted];I am in receipt of the complaint filed by our patient of the number referenced above.I am not sure why the patient filed a complaint as it appears that there is no record of a call into our office to address the matter. Here is what I believe has transpired.The...

patient was seen in January and March of 2016. Her insurance does require a referral and we do have a referral on file. That is not an issue.Her insurance company, [redacted] is an HMO which puts out many hoops before paying for services. After our initial billing of them they denied all claims stating they were patient responsibility. After appeals in June of 2016, the insurance paid for part of the March visit and we adjusted off some of the bill so there is no balance from that visit. TO date we have not been paid for the January visit, which we have billed 3 times, and for which we are still submitting information to the insurance company.When we receive a $0 payment from insurance indicating a patient responsibility, our system automatically bills the patient, until the claim is reviewed or the patient calls to dispute the bill. This may be why the patient received bills based on the information we received.We do not send patient's to collections, unless we have worked with them extensively and all other means to settle a claim are exhausted. This case has never been sent or prepared to be sent for collections. We would like to be paid for the work performed and continue to work with [redacted].So far, from the amount we billed for services, we have been paid $80 by the patient, we have been paid $247.31 by the insurance, we have adjusted (or written off) an amount of $699.69. The balance remaining for the insurance company is $185. We hope to eventually resolve this remaining claim.The patient's balance is $0 at this time.
