To whom it may concern: Thank you for your letter dated June 13th in regards to our clients’ concern about receiving a refund I am sad the client had such a frustrating experience with my companyHer original complaint was quickly responded to and as I had mentioned the instructor who did not show we were very concerned about since that was completely out of her work history In my response I told her I would refund her charges and I mentioned how I would love for her to come back and try the program again at no charge The client did not respond to that e-mail and unfortunately I had not put a reminder in my notebook to process the card and thus the refund was not process the next dayThe evening of June 5th the client e-mailed me again asking for the refund At this time I felt very bad for forgetting On June 6th I had significant challenges with my e-mail and spent most of the day trying to resolve the issue Later that day I went home ill The client had called in but I was unable to take her call I refunded the amount she paid on 6/7/ The client e-mailed me the next morning alerting me to the fact that the card she originally used had been closed and she had wanted the refund to post to a different cardI sent an e-mail message stating that the refund had processed and to reach out to her bank as I was unaware of what occurs when refunds are posted to closed cards I have received no response to that messageI have verified with my merchant service company the refund has been processed At this time the client must contact her bank directlyI had tried calling the client When she registered on-line however she put in an incorrect phone number in our systemI understand the client’s frustration and have apologized for the inconvenience We truly work hard to provide great customer service, with wonderful instructors and programs I have purchased a new e-mail software with associated task list which I will be using going forward to help keep my work responsibilities organizedWarm regards, Jessica M [redacted] Director of Operation PDX SportsCenter
