As a small business, with a sincere commitment to our
community, we work very hard to ensure a positive experience for all our guests
and we pride ourselves on going above and beyond to meet their needs. We did make a sincere attempt to provide the
requested refund. Below is an...
outline
of our response to the complaint. We are
truly sorry our efforts were not enough for this customer.
The $35 that the customer paid for the party was
part of a $105 non-refundable deposit for a party that was to be held on July
15 - hostess chose to have three guests each pay 1/3 of the deposit. The party
requires the host/hostess select artwork in advance for their event, in order
for our artists to prepare to the class. We began reaching out to the hostess on July 28
to make her art selection. Over the
course of 8 days, we tried several times to reach her. We sent two emails – one to her personal
email and one to her business email. We
left two messages on the number provided.
When we could not reach the hostess, we reached out to the other two
guests who put a deposit on the party, which included this customer. Neither of those guests replied either. Although the contract did not specifically
state a date for artwork selection, we made it clear in all our messages that
due to the July 4 Holiday, and staff vacations, we needed to set this up sooner
than later. Still no response. We also reviewed the link we had sent the
hostess to check if she had looked at the art library or had any additional
party signs ups. She had never viewed
the link and had no additional guests registered. With no reply, we decided to remove the party
from our calendar. We did hold
additional seats in our open class that evening in case they still did want to
paint and could join us there. On July 6, we received a call from [redacted]
saying she just went on line to check something and saw the party was no longer
there. We explained our attempts to
reach out and that with no reply we did cancel the party. We offered her seats
in our open class or a different date for an event – as another party did
already pick up this date. She said she
would like to cancel the party and receive her money back. Although our policy is studio credit only,
(and in this case it was not eligible for that, as it was a non-refundable
party deposit) we believed the right thing to do in this unique situation was
provide a refund. We offered a refund
AND a $35 studio credit, as an apology for any confusion. We sent an email requesting address and
credit card numbers to refund to the cards – as our systems do not retain that
information. [redacted] indicated she did not want to provide us that information
and requested a check. Therefore, we
issued the $35 studio credit to the email account and proceeded with issuing a
check via US mail on July 7 for an additional $35. The second guest who placed a deposit also
replied with an address and requested a mailed check. On July 13, the third customer - and official
party host – finally replied and requested a check. This email prompted [redacted] to indicate she
still hadn’t received her check and wanted verification it was mailed. We confirmed it was mailed on July 7. On July 14, [redacted] emailed us and indicated she
still did not receive it and was requesting another check. We explained that we were out of town through
July 18 and our designee did not have check writing permission. Upon our return the week of July 20, we would
proceed with checking with the post office and the bank and reissue a check if
one had not been cashed. On the morning of July 18, [redacted] sent another
email, indicating that she still hadn’t received the check and was now moving
forward with contacting her credit card company to dispute and contacting the
Revdex.com. At that point we felt no further
action was required of us – in terms of a refund - as we assumed [redacted] had
now proceeded with the process through her credit card company. Regardless, we did follow up the week of July 20
and stop payment on the check as of July 21.
We have not reissued another check as we are waiting for resolution from
the credit card company. On July 22, [redacted] emailed us again to say she
still hasn’t received her check, and is looking for us to let her know what we
will do to make this right or she will take us to small claims court. We replied numerous times indicating that if
she can verify that she is not receiving reimbursement from her credit card
company, as she told us she was pursuing that avenue, we would still reissue
her a check. As of the date of this response, we have not received follow up
direction from [redacted].
It is
further worth noting, that the customers who paid the other 2/3 of the deposit
for this party, did receive their checks.
We have attached the email strings as support for our response to the complaint.

The Instructor [redacted] NEVER asked us to leave he just began to clean the studio, which we left because he was apparently NOT going to help with our painting as we asked him to. I am concerned why the owners of the business allowed their employee to treat their customers in this manner.
