October 02, 2015The purpose of this letter is to explain and defend claim # [redacted] .***and [redacted] had an appointment schedule on August 19, at 12:p.mduring this time our regular receptionist was out on vacation for two weeksFor those two weeks we had our dental assistant take over the front deskUnfortunately she is not familiar with how our accounting system works and was overwhelmed with the front desk dutiesDays later [redacted] 's called explaining the reason as to why she and [redacted] missed their appointment, temporary front desk was not trying to be rude or insensitive, she was just overwhelm with her temporary dutiesWe are truly sorry, it was not our intensions to upset [redacted] during such difficult time for her and her family.When statement was generated, his account reflected a balance and a statement was sent out by mistake, [redacted] should had never received a statementWe received a payment of $from [redacted] on September 30thCheck was returned with an apology letter explaining what had happened.It was never our intention to upset anyone, This experience will work to prepare our employees in handling similar situations in the futureIt was just an honest mistake in our part and will work for this never to happen again.Sincerely,Maria A.Office Manager

Days later [redacted]'s called explaining the reason as to why she and [redacted] missed their appointment, temporary front desk was not trying to be rude or insensitive, she was just overwhelm with her temporary duties.
