As the representative of Fieldstone at Glenwood Crossing, I have thoroughly read and reviewed the complaint filed by a recent applicant. I firstly would like to acknowledge the frustration this individual expressed as this situation is not a typical outcome of our systems and policies. When an...
online application is received, the applicant is responsible for entering all addresses and personal information. Should an application then be denied or cancelled, any refundable monies are then mailed to the applicant’s address. In this particular case, the check had been mailed to an address that was no longer active for the applicant. Per our accounting department, once the check is mailed, we wait for a 30 day period to reissue a check. On the 30 day mark, this refund was reissued and overnighted to the community address for the applicant to pick up. I would like to apologize if this process was not made clear or was not communicated effectively to this applicant. Based upon the feedback and the delay in refunding the fees due to this applicant, I have raised this as an important concern to my corporate office. I do believe this concern is valid and is a process to be improved. Since this complain has been received, the matter at hand has been resolved with the full issuing of the refund as well as an immediate change to this process. Going forward, any online application fees to be refunded will be directly refunded to the form of payment utilized. I sincerely apologize for the inconvenience and untimely refunding this person endured. I am confident that going forward, this process will be much more customer friendly and instances like these will be avoided.
