Dear MrPollock,
This is in response to a customer complaint we received
today I am attaching a letter that I am sending today to our customer In it I explained my side of the story, which I will do for you in this email
The last time I cleaned this customer’s carpets was on July 7, It wasn’t until after August 6th, and not in July, that she notified me that she no longer wished to participate in our carpet cleaning program This is a one-year contract that she entered into on February 20, I made an error by inadvertently failing to remove her from the billing list, as I told her I would I had forgotten that she had called and asked to be removed and the reason I had forgotten is because when I received that cancellation call I was away from the office and forgot to write it downThe message was never brought to the office She received two more bills in September and then in October Still not remembering that she had asked to be released from her contract, I then called her at the end of September to remind her that we were coming to clean again on October 1st, and that she needed to get caught up with September's and October’s payments I had left a message on her voicemail She then returned my call stating, “Why am I still getting billed? I cancelled.” And then I remembered her doing so, and I apologized
I told her to disregard the billing she received and that I was willing to dissolve the contract six months early without any consequences to her I felt that out of good business relations, I would not force her to stay for the full year’s contract even though I had every right to do so I even offered any balance she had paid that had not been applied to any cleaning to a future cleaning whenever she called us I said I wasn’t sure how much there is because I knew she was behind on payments but I would check it out Then she said she would rather have a refund I then asked her if she would ever have us back to clean her carpets to which she replied, “I don’t know”
Now, instead of calling me to inquire what I have decided to do about a refund, she goes directly to the Revdex.com I feel that she has been less than upfront with her end of the contract I feel that I have completely honored everything that was stated in our contract since February I feel that I was being very generous by allowing her to bow out of her contract six months early with no consequence
As stated in my response letter to this customer, I am mailing her a refund of $today for the last payment she made, which was in August This is far above any obligation I have according to our contract
